Cardinal AI LLC ("Cardinal AI," "we," "us," or "our") provides AI-powered vehicle scoring and auction intelligence software to automotive dealerships. This Privacy Policy explains what information we collect through our website at cardinaltech.ai, our demo request and waitlist forms, and our platform; how we use that information; and the choices available to you.
This policy applies to business contacts, prospective customers, and dealership personnel who interact with Cardinal AI. By submitting information to us or using our services, you agree to the practices described here.
2. Information we collect
Information you submit to us
When you request a demo, join the Florida early access waitlist, or otherwise contact us through a form on this website, we collect the information you provide, which may include:
- Contact details — your name, job title, business email address, and business phone number.
- Dealership details — dealership name, city and state, franchise or independent status, and number of rooftops.
- Operational business information — average monthly units in inventory, monthly service drive volume, and a description of the challenges in your used vehicle operation.
- Technology details — your primary DMS (dealer management system) platform, such as CDK Global, Reynolds & Reynolds, DealerTrack, Tekion, or Auto/Mate.
Information collected automatically
Like most websites, we and our hosting and analytics providers may automatically collect limited technical information such as IP address, browser type, device type, referring page, pages viewed, and timestamps. We use this information to keep the site secure and to understand aggregate site performance.
Platform data
If your dealership becomes a Cardinal AI customer, we process vehicle and inventory data (for example VINs, mileage, vehicle history, valuation, and auction data) and platform usage data in order to deliver scoring, reporting, and analytics. This data is processed on behalf of your dealership under our customer agreement.
3. How we use information
We use the information we collect for the following purposes:
- Sales outreach and communication — to respond to demo requests, schedule and conduct demos, follow up on inquiries, and send information about Cardinal AI products and launch availability.
- Product delivery — to create and administer accounts, provision access, configure scoring for your operation, integrate with your DMS where applicable, and provide customer support and onboarding.
- Analytics and improvement — to analyze how our website and platform are used, measure the accuracy and performance of our scoring models, and improve our features and reporting.
- Legal, security, and administrative purposes — to maintain records, enforce our agreements, prevent fraud and abuse, and comply with applicable law.
4. How we share information
We do not sell your personal information to third parties, and we do not rent or trade your contact information for third-party marketing.
We may share information in the following limited circumstances:
- Service providers. We share information with vendors who perform services for us, such as website and application hosting, email delivery, customer relationship management, scheduling, analytics, and data providers that supply vehicle history and valuation data. These providers are permitted to use the information only to provide services to Cardinal AI.
- Within your organization. Platform data and reporting may be visible to authorized users at your dealership or dealer group.
- Legal requirements. We may disclose information if required by law, subpoena, or other legal process, or where we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
- Business transfers. If Cardinal AI is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to this policy.
5. Data retention
We retain information for as long as needed for the purposes described in this policy. Specifically:
- Demo request and waitlist submissions are retained for up to 24 months from your last interaction with us, unless you ask us to delete them sooner.
- Customer account and platform data is retained for the duration of the customer relationship and for up to 12 months after termination, after which it is deleted or de-identified, except where a longer period is required for legal, tax, or accounting purposes.
- Aggregated or de-identified data that cannot reasonably be used to identify you or your dealership may be retained indefinitely for model performance and benchmarking.
6. Your rights and choices
You may, at any time and subject to applicable law:
- Request a copy of the personal information we hold about you.
- Request that we correct inaccurate or incomplete information.
- Request deletion of your personal information, subject to our legal and contractual obligations.
- Opt out of marketing communications by using the unsubscribe link in our emails or by contacting us directly. We may still send you transactional or service-related messages.

7. Security
We use administrative, technical, and physical safeguards designed to protect the information we hold, including encryption in transit and at rest, role-based access controls, and least-privilege access for personnel. 8. Children's privacy
Cardinal AI is a business-to-business service intended for use by licensed automotive dealerships and their personnel. Our services are not directed to children under 16, and we do not knowingly collect personal information from children.
9. Governing law
This Privacy Policy and any dispute arising from it are governed by the laws of the State of Florida, without regard to its conflict-of-laws principles. Cardinal AI LLC is organized in Florida, and our services are operated from the United States.
10. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page. Material changes will be communicated to active customers by email or through the platform. Continued use of our website or services after an update constitutes acceptance of the revised policy.
